PACT Assistant Office Manager, Fitchburg
CSO is looking for an Assistant Office Manager or our ESP PACT Program.
Program for Assertive Community Treatment (PACT) is an evidence-based intensive outpatient treatment program designed to assist adults overcome the barriers to their recovery from severe and persistent behavioral health disorders.
The Assistant Office Manager is responsible for working collaboratively with the Office Manager in gathering pertinent information, verification and data entry of insurance information. As required, and in a backup capacity, the Assistant Office Manager will also supervise onsite support staff and may fulfill the job requirements for an Administrative Assistant.
Starting salary: $38,000-$45,000/year
As an Assistant Office Manager:
You Will:
- Serve as onsite liaison with counselors, clinicians and other staff, helping to resolve administrative issues at the site.
- Track CCS and/or PACT admissions, ensure that prior auths are in place and documented.
- Oversee client records and chart archives, ensuring records are up-to-date and accurately filed.
- Ensure support staff comply with HIPAA confidentiality rules and regulations.
- Work with Human Resources to ensure initial new hire and other required employee paperwork is completed and returned to HR when necessary.
- Verify insurance eligibility daily and enter new/updated client data in computer database.
- Track Credible approvals and escalate gaps or issues to Supervisor, serving as the last line of checks before services go to billing.
- Support purchasing needs of office and building supplies including Nexonia management of credit card charges (where applicable).
- Maintain building certificates, inspections, and vehicle maintenance (where applicable).
- Coordinate and communicate facilities needs including contracted services such as landscapers, trash removal, and site cleaners.
- Enhance professional growth and development through participation in educational programs, current literature, in-service meetings and workshops.
Your Background:
- High school diploma and at least one year of office experience
- Third-party behavioral health billing and supervisory experience (preferred)
- Organizational and interpersonal skills
- Computer proficiency
- Valid driver's license and reliable transportation
