Office Manager, ESP, Greenfield

CSO is looking for an Office Manager for our Emergency Services Program (ESP) in Greenfield. 

Our Emergency Service Programs (ESPs) offer clients behavioral health assessments, intervention and stabilization (for youth, families and adults,) 24-hour availability, and are a preferred alternative to hospital emergency departments. We provide daily assessment and brief counseling, case management, nursing support and peer support.

The Office Manager is responsible for all onsite billing duties including the gathering, entering and verifying of all pertinent billing information. The Office Manager also has oversight of facility maintenance and provides administrative support to onsite program staff.

As ESP Office Manager:

You Will:

  • Answer incoming phone calls, direct to appropriate staff or document. Respond to customer service issues, follows up customer service issues, and ensures customer issues are professionally resolved in a timely manner.
  • Assure insurance verification of all clients via the REVS system and print out report.
  • Assure Prior Authorization for services and request missing information from clinical manager.
  • Provide data entry and verification of all billable and non-billable services.
  • Maintain mailboxes; sort and distribute incoming mail; maintain copier in working condition.
  • Type, copy, and/or distribute memos and letters for program staff.
  • Maintain client files and record keeping and file information as needed.
  • Keep an inventory of program supplies and order them as needed.
  • Provide courier service as needed to deliver and pick up interoffice mail and deliver reports to FMC Medical Records.
  • Attend staff meetings as scheduled/directed.
  • Verify and record written and/or electronic timesheets in collaboration with Program Director.
  • Track and maintain petty cash records.
  • Provide data collection, entry and report for monthly program report.
  • Provide support to staff for last minute shift changes such as call-outs.
  • Assist in coordinating facility maintenance and improvements such as being a liaison to contractors.

Your Background:

  • High school diploma or equivalent and two years of office experience with preference towards third-party behavioral health billing experience
  • Computer proficiency
  • Valid driver's license and reliable transportation
