Administrative Assistant, FRC, Amherst

CSO is looking for an Administrative Assistant for our Family Resource Center (FRC.)

This position is responsible for providing general reception, clerical, billing, and overall administrative support to the FRC. The position also assists as needed in Outpatient services.

As an Administrative Assistant:

You Will:

  • Provide overall administrative and program support to FRC and Outpatient services including dissemination of program materials and maintaining stock of forms, marketing and program calendar materials

  • Greet and direct visitors/clients arriving for appointments 

  • Maintain therapy room schedules and sign-in boards

  • Verify all Mass Health clients on billing system and print out report daily 

  • Conduct reminder calls to clients as needed

  • File all information using proper office procedures, and maintain an organized office and reception area

  • Answer incoming phone calls, direct caller or document to appropriate staff

  • Provide welcome tours and reception to family and youth who drop-in to FRC, ensuring immediate access to FRC staff for families and youth in need; assist in providing information and referral for families 

  • Ensure proper staff person or department is notified in a timely manner upon a visitor's arrival and monitor to ensure visitor receives a response

  • Respond to customer service issues, follow up customer service issues, and ensure customer issues are professionally resolved in a timely manner

  • Maintain clerical support for documentation, administrative paperwork and data collection according to contract guidelines; ensure neat, accurate, and timely records in accordance with agency policies and procedures along with all regulatory bodies

  • Update monthly newsletter and marketing materials including flyers and monthly calendar

Your Background:

  • High School diploma or equivalent experience with demonstrated reception, typing, word processing and office skills

  • excellent organizational and interpersonal skills

  • Valid driver's license and reliable transportation
